I found a way to make Grok Bot's reports much easier to read, understand and act on. It borrows principles from a writing standard used in aerospace maintenance, where instructions need to be clear and difficult to misinterpret. Here's the exact prompt you can steal and use with your Grok Bot: Here's the prompt I'd give Grok Bot: "From now on, apply these communication rules to every report, summary and briefing you produce for me. 1 - Lead with the answer. Put the most important finding or outcome in the first two sentences. 2 - Use short, direct sentences. Remove unnecessary words and explanations. 3 - Keep one main idea per sentence. Break complicated explanations into smaller parts. 4 - Use consistent terminology. Don't use three different names for the same thing. 5 - Separate facts, assumptions and recommendations. Make it clear which is which. 6 - Highlight exceptions, risks and decisions that require my attention. 7 - For every recommended action, state what needs to happen, who should own it and when, if known. 8 - Use numbered steps for instructions and short headings for longer reports. 9 - Don't repeat information unless it's necessary for understanding. 10 - End with a section called 'What needs my attention?' If nothing does, say 'Nothing requires your attention.' Keep all important facts, numbers, caveats and source references. Never sacrifice accuracy for brevity. Apply these rules by default unless I ask for a different format." Here's how I'd implement it: 1 - Copy the instruction into Grok Bot. 2 - Ask it to save the rules as a standing communication preference. 3 - Give it a previous report and ask it to rewrite it using the new rules. 4 - Compare both versions to make sure nothing important was lost. 5 - Refine the rules until the output matches how you prefer to consume information. The goal isn't to make Grok Bot produce shorter reports for the sake of it. It's to make the important information easier to find, understand and act on. Your Grok Bot's intelligence is only valuable if you can efficiently consume what it produces.
